University of Tennessee - Bursar's Office

The Bursar's Office of the University of Tennessee in Knoxville was consumed with paperwork due to the size of the University and the governmental requirements for data retention. In fact their records had overflowed their offices and were stored in off site locations. They needed to capture all their existing 350,000 pages of student records and be able to access all of the information online. CIMSgts provided an integrated Imaging and Document Management System for the Bursar's Office that allowed them to, capture all of their records, integrate with their existing system and access the information in a more timely manner. CIMSgts developed a custom connectivity module that interfaced to their existing student database to automatically index the student record data. We then used this to capability to perform the backfile conversion that entered the 350,000 pages, of historical student information, into the Document Management system.



Now any one within the Bursar's office can access the data without ever leaving their desk, providing instant access to all of the required information. In addition the custom interface module that was developed by CIMSgts is used to streamline the entry of new data into the system by pulling the student indexing information off of their mainframe system.


CIMSgts used the Onbase Document Management system from Hyland Software and the Ascent Capture software from Kofax for scanning, as the basis for the project. CIMSgts also integrated all the hardware and interfaced to their existing network to provide a complete turn-key solution for the Bursars office at the University of Tennessee in Knoxville.
